Job Summary
The Executive Coordinator plays a key role in supporting the leadership of the organization by managing administrative tasks, coordinating projects, and ensuring smooth communication between stakeholders. This role requires strong organizational, communication, and problem-solving skills to facilitate the efficient operation of an NGO in the public service sector. The Executive Coordinator will work closely with the executive team to support strategic initiatives, event planning, and stakeholder engagement.
Responsibilities
- Administrative Support: Manage executive schedules, arrange meetings, and handle correspondence.
- Project Coordination: Oversee NGO projects, track progress, and ensure alignment with organizational goals.
- Stakeholder Engagement: Communicate with donors, partners, and community members to build and maintain relationships.
- Event Planning: Organize meetings, conferences, and community outreach programs.
- Communication: Prepare reports, presentations, and official correspondence for internal and external stakeholders.
- Compliance & Documentation: Maintain accurate records, handle legal documentation, and ensure compliance with NGO regulations.
- Financial Oversight: Assist in budget tracking, fundraising coordination, and grant applications.
- Team Support: Collaborate with different departments to ensure smooth workflow and support the organization’s mission.
Qualifications
- Bachelor’s degree in Public Administration, Business Management, Social Sciences, or a related field.
- Minimum of three years of experience in an administrative or coordination role within an NGO or public service sector.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office and project management tools.
- Excellent written and verbal communication skills.
- Ability to work under pressure and handle sensitive information with discretion.
